Here's a reference document. When you have a new proposal, please access this link to make a copy of the document and present your proposal there. Then you can send the proposal to the board of directors.

Summary of the work​

Introduction​

Please give it a brief introduction about the work we’re planning or proposing to do. It should address questions such as:

  • What is the work for?
  • Why do we need this work? Or What triggered the need for this work?
  • What issue(s) does this work address?
  • Reference links if any?

Impacts​

Please explain the impacts of the work. It should address questions such as:

  • Which user groups does this work target to? How many users will be targeted?
  • Which operating systems or operations will be affected?
  • How will this impact users or systems or operations?
  • How do we propose to mitigate negative impacts if any?
  • Any risks of having critical issues to the test targets?
  • How do we propose to mitigate or resolve risks if any?
  • Reference links if any?

Timeline​

Please define the timeline for which the work will be performed. It should address questions such as:

  • When will it start?
  • When will it end?
  • For how long will it take to complete the procedure for each targeted user/system/operation?
  • For how long will it take to complete the entire work?

Test trial (if any)​

Please define the details of the test trial if any. It should address questions such as:

  • What was the purpose of the test trial?
  • When did the test trial start and end?
  • What was the scope of the test? (Did we test the full procedure and all aspects or just a portion of it?)
  • Who/What were the test targets?
  • What were the test results?
  • Reference links if any?

Cost (if any)​

Please explain the cost associated with the work if any. It should address questions such as:

  • What devices do we need to purchase or rent to perform the work? What is the cost of each?
  • What services or licenses are required to perform the work? What is the cost of each?
  • Reference links if any?

Please propose as many available options as possible here.

Communication plan​

Please explain the communication plan for the work. It should address questions such as:

  • If and How will we communicate to the test targets?
  • When will we send the messages?
  • Where will we send the messages to?
