Onboarding Process for New Employees

1. Notification and Preparation

  • Receive Notification: HR department informs IT about the new employee's start date and role in the
    Slack channel 🔒 onboard-offboard-relocation-games.
  • Prepare Equipment: Based on the role, prepare the necessary hardware:
    • Laptop/PC
    • Monitor(s)
    • Keyboard, mouse and mousepad
    • Headphone
    • Any additional peripherals: Wacom tablet
  • Software Installation: Install required software:
    • Ensure all old data on the machine has been wiped out.
    • ReInstall the latest version of the operating system.
    • Rename the Laptop/PC according to the Asset tag.
    • Management software:
      • Windows:
        • Join Domain
        • Install Defender
        • Organize the computer in the correct organizational unit (OU) in AD
        • Grant permissions to the User account as a Local Admin (if necessary)
        • Check for the gglocaladmin account on the computer, disable unnecessary accounts such as guest.
      • Mac: Install Jamf
    • Application software:
      • Install basic software: Slack, Chrome, Zoom, Anydesk, Unikey
      • Install software as requested by the team (if any): Unity, Jetbrain Rider, Visual Code, Design,...

2. Account Setup

  • Create Accounts: Set up necessary accounts for the new employee:
    • Company email (geargames.com)
    • Access to internal systems and software
    • VPN and remote access if needed
  • Assign Permissions: Ensure the new employee has appropriate access rights and permissions based on their role.

3. Hardware Setup

  • Physical Setup: Arrange the hardware at the new employee’s workstation:
    • Connect and test all peripherals
    • Ensure proper cable management
  • Network Connection: Ensure the device is connected to the company network and internet.

4. Orientation and Training

  • Initial Login: Guide the new employee through the initial login process and ensure all accounts and access points are functioning.
  • Basic Training: Provide basic training on:
    • Using the operating system and installed software
    • Accessing company resources and email
    • IT policies and best practices for security

5. Follow-Up Support

  • Initial Support: Be available to address any immediate technical issues the new employee might face.
  • Scheduled Follow-Up: Check in after a few days to ensure everything is functioning correctly and to answer any questions.

6. Documentation

  • Update Records: Record all hardware and software allocations in the IT asset management system.
  • Create Support Ticket: Open a support ticket for the new employee’s onboarding process to track any issues and resolutions.
  • Report: Update spreadsheet to HR and GA confirming the completion of the offboarding process.
