Onboarding Process for New Employees
1. Notification and Preparation
- Receive Notification: HR department informs IT about the new employee's start date and role in the
Slack channel 🔒 onboard-offboard-relocation-games. - Prepare Equipment: Based on the role, prepare the necessary hardware:
- Laptop/PC
- Monitor(s)
- Keyboard, mouse and mousepad
- Headphone
- Any additional peripherals: Wacom tablet
- Software Installation: Install required software:
- Ensure all old data on the machine has been wiped out.
- ReInstall the latest version of the operating system.
- Rename the Laptop/PC according to the Asset tag.
- Management software:
- Windows:
- Join Domain
- Install Defender
- Organize the computer in the correct organizational unit (OU) in AD
- Grant permissions to the User account as a Local Admin (if necessary)
- Check for the
gglocaladminaccount on the computer, disable unnecessary accounts such asguest.
- Mac: Install Jamf
- Windows:
- Application software:
- Install basic software: Slack, Chrome, Zoom, Anydesk, Unikey
- Install software as requested by the team (if any): Unity, Jetbrain Rider, Visual Code, Design,...
2. Account Setup
- Create Accounts: Set up necessary accounts for the new employee:
- Company email (geargames.com)
- Access to internal systems and software
- VPN and remote access if needed
- Assign Permissions: Ensure the new employee has appropriate access rights and permissions based on their role.
3. Hardware Setup
- Physical Setup: Arrange the hardware at the new employee’s workstation:
- Connect and test all peripherals
- Ensure proper cable management
- Network Connection: Ensure the device is connected to the company network and internet.
4. Orientation and Training
- Initial Login: Guide the new employee through the initial login process and ensure all accounts and access points are functioning.
- Basic Training: Provide basic training on:
- Using the operating system and installed software
- Accessing company resources and email
- IT policies and best practices for security
5. Follow-Up Support
- Initial Support: Be available to address any immediate technical issues the new employee might face.
- Scheduled Follow-Up: Check in after a few days to ensure everything is functioning correctly and to answer any questions.
6. Documentation
- Update Records: Record all hardware and software allocations in the IT asset management system.
- Create Support Ticket: Open a support ticket for the new employee’s onboarding process to track any issues and resolutions.
- Report: Update spreadsheet to HR and GA confirming the completion of the offboarding process.
